MyYearbookPhoto Guide

 

Creator Studio + MyYearbookPhoto is a self-service school portrait tool which allows yearbook advisers to request school portraits from students and families and flow them right onto the pages of the yearbook.

 


 

 

Importing Names into Creator Studio

1) Prepare a CSV file with a list of students and staff. The CSV file should have at least the following columns:

First Name

Last Name

Grade

Email Address

 

Optional fields to include:

Homeroom

Teacher

Custom Info

 

Check with your school secretary to see if this list can be exported from your school’s student information system.

 

2) Open your project in Creator Studio and click “Manage People” from the “People” module.

 

3) Click the “Add/Import” menu at the top right and then “Import People Info Only (CSV)”




4) From the file browser that appears, locate the CSV file you prepared earlier.

 

5) A preview of your CSV data will appear on the screen. Only the first 10 rows will appear in the preview, however all rows in your file will be imported. 

Before names can finish importing, you’ll need to assign each column in your CSV to a known field in the system. A dropdown of known system fields will appear above each of your columns. Choose the field from the dropdown that best matches your column. For example, choose “First Name” from the dropdown above the column with first names. 

Do this for each column you want imported. If there is a column you don’t need, simply do not select anything from the dropdown above that column. 

Some CSV files may include column headings. If yours includes this, you will see them as the first row on the preview on your screen. If you have column headings, you will need to click the “Don’t import first row” checkbox so that row is imported as a person.

 

6) When you are ready, click “Finish Import”

 

Requesting Photos

Each recipient will receive an email with a link unique to them. Please do not share that link with others. 

 

1) Open your project in Creator Studio and click “Manage People” from the “People” module.


2) Click the “MyYearbookPhoto” menu and then “Request Photos”



3) Choose who you want to send this request to:

“People with no photo” - this will send an email to everyone with no photo. 

“Selected people” - to select specific people back on the people manager, click the first person, then while pressing the shift key, click the last person. Or using the control key (command on Mac) to select multiple names in any order. 


4) Select a deadline you need photos submitted by. Once this date passes, your students and staff will not be able to submit photos. You may change this date at any time including after the date passes.

 

5) Include a message. We’ve included a default message or you can replace it with your own. This message will appear in the request email.

 

6) Click “Send”



 

Request Reshoots

 

Warning: Sending a reshoot will delete the original photo. 

 

Each recipient will receive an email with a link unique to them. Please do not share that link with others.

 

1) Open your project in Creator Studio and click “Manage People” from the “People” module.

 

2) Select the person or people you want to request a reshoot from. To select specific people from the people manager, click the first name, then while pressing the shift key, click the last name. Or using the control key (command on Mac) to select multiple names in any order. 

 

3) Click the “MyYearbookPhoto” menu and then “Request Reshoot”

 

4) Select a deadline you need photos submitted by. Once this date passes, your students and staff will not be able to submit photos. You may change this date at any time including after the date passes. 

Note: changing this date here will also change it for any people who you haven’t received photos from.

 

5) Include a reason for the reshoot request. This reason will appear in the request email.

 

6) Click “Send”



 

Reviewing Submitted Photos

 

As new photos are submitted, these will be indicated in the people manager by a green dot next to the name. 

 

The number of new or unseen photos will appear in the left panel 

 

Once you click on a name to view the photo, the green dot will disappear and the number of unseen photos will decrease. 

 

To review consecutive photos, use the up and down arrows next to the photo preview on the left.



 

Download Student List

 

If you have anyone that claims they did not receive an email after requesting photos, you can download a list of all parent emails and their corresponding unique upload links. Once you have their email and link, you can send the link directly to the parent to make sure they get it. Each student will have a unique link, so it is important that you do not send the same link to each parent. 

 

MyYearbookPhoto Settings

 

Submission Deadline - Select a deadline you need photos submitted by. Once this date passes, your students and staff will not be able to submit photos. You may change this date at any time including after the date passes. 

 

Custom Photo Guidelines - Enter any special instructions you want people to know before taking or submitting their photo. This will appear on the submission page along with the following guidelines:

 

DOs

  • Do face the camera directly with full face in view, centered in the frame.
  • Do show your head and shoulders.
  • Do only have one person in the photo.
  • Do be well groomed.
  • Do use a neutral colored, plain white or off-white background.
  • Do take a vertical photo.
  • Do try to use natural light.

DON’Ts

  • Don’t have backlighting from windows or lights.
  • Don’t have shadows on the person or background.
  • Don’t show the side profile of face or body.
  • Don’t wear or hold hats, sunglasses, props or pets.
  • Don’t show hands or hand gestures.
  • Don’t have hair blocking face.
  • Don’t use copyrighted photos.
  • Don’t use photo filters.
  • Don’t use square or horizontal photos
