Manage Portraits and People

1. Accessing the People Module

  1. From your project dashboard, locate the People module at the bottom-right.


  2. Click People.

    OR

    You can also edit or add a person from the People Dropdown in the upper right of your editor:



  3. You’ll see a list of all “people” or “portraits” in your project. Want to add new entries? Learn how to Add Portraits or Import PSPA.


2. Editing a Single Person

  • Find the person in the list.



  • Double Click their name. -OR - From the top toolbar, select Edit.


  • Update their information, then click Save.


3. Editing Multiple People at Once

  • Select two or more people:

    • Hold Ctrl (Windows) or ⌘ Command (Mac) and click each name,

    • or click one name, then hold Shift and click the last name in the range.



  • Click Edit at the top.



  • Modify Grade, TeacherHomeroom.


  • Click Save to apply changes to all selected profiles.


4. Searching for a Person

  1. Use the Search box on the upper left of the People list.



  2. Type a name, teacher, or homeroom.

  3. The list updates with matching results.



  4. Optional: refine further using filters (Section, Grade, Teacher, Homeroom, # of times in book, or missing info).




5. Sorting the List

  • Click any column header (e.g., Name, Grade, Priority) to sort the list by that field in ascending/descending order.



6. Viewing by Assigned Section

  1. Use Filter by Section on the left.


  2. Use the dropdown to choose a section. (If no sections exist, the list will be blank.)


  3. Only portraits matching that section will display.



7. Finding People Not Yet in the Book

  1. Select Filter by # of times in book on the left.


  2. Choose “0 times” (or another option).



  3. See only those portraits that meet your chosen criteria.



8. Identifying Profiles Missing Required Info

  1. Check Show only people missing required information.


  2. The list will display portraits missing a photo, name, and/or grade.



9. Printing With Missing Photos

  • Yes, you can print with missing photos.

  • A “No photo available” placeholder will display where necessary.


  • While we’ll warn you about missing photos, you may choose to proceed regardless.


10. Deleting People

  • To delete specific individuals:

    1. Select one or more names (Ctrl/⌘ or Shift-click).


    2. Click Delete at the top.


  • To delete all people:

    1. Click Add/Import.


    2. Choose Delete All People.


    3. Confirm on the warning screen (this action cannot be undone).



Tips & Best Practices

  • Use filters and sorting together for targeted edits.

  • Always double-check selections before mass Save or Delete actions.

  • Utilize the Priority field to get teachers or administrators to flow at the top of your pages.

  • Review the missing info filter to ensure every portrait is complete.
